Terms & Conditions

By working with MoorBooks Design, you agree to the terms outlined below.

These terms are designed to keep the collaboration process clear, respectful, and smooth for both sides.

​1. Services

MoorBooks Design provides custom publishing visuals, including:

  • Ebook cover design

  • Paperback, hardcover, and dust jacket design

  • Audiobook covers

  • Animated book cover visuals and promotional animations

  • Promotional graphics and marketing materials

  • Fantasy maps

  • Premade covers

  • Additional publishing-related design services

All custom designs are created specifically for each client unless stated otherwise.

2. Project Process

Each project begins after the project scope, timeline, and creative direction have been discussed and confirmed through email communication.

The typical workflow includes:

  1. Project discussion and scheduling

  2. Design proposal delivery

  3. Revisions and refinements

  4. Final approval

  5. Invoice and payment

  6. Final file delivery

We aim to keep communication transparent and timelines realistic throughout the process.

3. Payment Terms

No upfront payment is required for standard custom cover projects.

Invoices are sent after the design has been approved by the client. Final files are delivered once the invoice has been paid in full.

Payments are currently accepted via PayPal only.

Clients are responsible for any transaction or currency conversion fees charged by payment providers.

The final payment is considered final approval of the project and completion of the agreed service.

4. Revisions

Unlimited revisions are included within the originally agreed project scope.

Revisions refer to refinements and adjustments based on the approved design direction.

Requests for entirely new concepts, major stylistic changes, genre changes, or redesigns after concept approval may require additional fees.

5. Final Files & Deliverables

Clients receive the final approved files related to the purchased service or package.

Depending on the selected service, deliverables may include:

  • High-resolution ebook cover files

  • Print-ready paperback or hardcover files

  • 3D book mockups

  • Audiobook cover files

  • Promotional graphics and social media visuals

Final files are prepared in professional publishing formats suitable for online distribution and print platforms.

Editable PSD files are not included unless explicitly stated within the selected package or agreed otherwise.

6. Scheduling, Inactive Projects & Reopening Fee

Project timelines depend on workload, project complexity, and queue position.

Estimated delivery dates are provided during communication, but may occasionally shift depending on revision rounds or scheduling changes.

If a completed or near-completed project remains inactive or unpaid for an extended period of time, it may be archived and removed from the active workflow.

In such cases, a project reactivation fee may apply before work resumes. This fee covers reorganization, file recovery, rescheduling, and returning the project to the active queue.

MoorBooks Design operates Monday through Friday and does not work on weekends or public holidays.

7. Client Responsibilities

Clients are responsible for providing:

  • A completed design brief

  • Accurate title, subtitle, series name (if applicable), and author name

  • Final back cover text for print editions

  • Correct trim size, final page count, and paper type for print editions

  • Any required references, images, logos, or branding materials

  • Rights to all materials supplied by the client

Clients are also responsible for carefully reviewing all proofs and final files before publication or printing.

MoorBooks Design is not responsible for errors that were present in client-provided materials or that were approved by the client during the design process.

8. Copyright & Stock Licensing

Clients receive commercial usage rights for the final approved design once payment has been completed.

Many designs may include licensed stock photography, textures, or graphic assets obtained through commercial licensing providers.

The cost of the cover design includes the necessary stock image licensing for standard publishing use, including print runs up to 500,000 units. For larger print runs, additional licensing fees may apply depending on the stock provider’s terms.

Images used within the design remain copyrighted by their original creators and licensors and may not be extracted, redistributed, resold, or reused separately from the final cover design.

9. Source Files

PSD files are not included unless explicitly stated within the selected package or agreed otherwise.

Additional fees may apply for editable PSD file requests.

10. Portfolio & Credit

MoorBooks Design reserves the right to display completed work in portfolios, website galleries, social media, and promotional materials unless otherwise agreed in writing before the project begins.

Cover design credit is always appreciated and encouraged, for example:

“Cover design by MoorBooks Design”

11. Cancellation & Abandoned Projects

Either party may cancel a project before final approval.

If a project becomes inactive for an extended period due to a lack of communication, missing materials, or delayed responses, it may be considered abandoned and archived.

Any work created prior to final payment remains the intellectual property of MoorBooks Design until the project has been fully paid.

12. Refund Policy

Due to the custom nature of design services, refunds are generally not provided once substantial work or design concepts have been delivered.

If a project is canceled before work begins, no payment will be required.

 

If a project is canceled after design work has already begun, any payment for work completed up to that point is entirely at the client's discretion. While there is no obligation to compensate us for completed work, some clients choose to do so as a goodwill gesture in recognition of the time and creative effort invested in their project. We greatly appreciate such gestures, but they are never expected or required.

13. Limitation of Liability

MoorBooks Design is not responsible for indirect damages, lost profits, third-party printing errors, platform-related issues, or problems resulting from incorrect information supplied or approved by the client.

Clients are responsible for verifying all final files before publishing, printing, or distribution.
